Why we collect personal information
As a PR company we regularly send out press releases to newspapers/magazines/journals and will be using legitimate interests to collect and process the information. Please see further information below regarding this process.
As part of our work with trade associations and professional clients, we also produce e-shots which are distributed to mailing lists provided by the trade association/client who are responsible for the opt-in process.
Personal information we collect
We subscribe to a media contacts database – Response Source – who collect and process journalist and PR data for their legitimate interest in providing services which help journalists and PRs work with each other.
The information we retrieve is publication, journalist name, department and e-mail address.
How we use your personal information
We use the information collected to build a database from which we distribute press releases.
We will never need to collect any sensitive information about you. The only exemption may be when arranging press trips where we may require additional details. This information will never be retained for future use; it will be deleted/shredded as soon as it has been used for the purpose it was intended.
All information stored is regularly reviewed and updated. All change or delete requests required are dealt with within 5 working days.

In order to prevent unauthorised access or disclosure we have put in place suitable physical and electronic procedures to safeguard and secure the information we collect online. All files containing personal data are held securely and they are updated constantly to ensure that all the information stored is current. Out of date information is deleted and paperwork is shredded and destroyed.

Press releases and e-shots sent out on behalf of our clients may contain links to their website or to webpages relevant to the subject of the release/e-shot. Contact details and email addresses may also be included – all press releases and e-shots are subject to an approval process which is rigorously adhered to. Approvals are requested from all parties involved in the content before any communication is distributed and written authorisations are stored online.
How you can withdraw consent for us to use your data
- You can unsubscribe out of marketing emails at any time by following the instructions at the bottom of the email.
- With regard to e-shots you can manage your preferences by clicking onto the link at the bottom of the e-shot.
